Pre-approved guests
Residents create a visitor request in advance and share the pass code or QR with their guest.
Deliveries and cabs
Separate visitor types for deliveries and cab drop-offs; cabs carry a vehicle number for the guard to match.
Walk-in approval
Visitors who aren't pre-approved are logged by the guard, and the resident approves or rejects from a notification.
Guard view
Guards see pending and approved visitors, scan QR codes and record entries and exits from their own app view.
Entry and exit log
Every visit is recorded with time and approver, so the committee can answer questions from records.
Material movement logs
Admins can create material logs that guards verify with evidence before approving — useful for move-ins and contractors.
The details
Why the paper register stops working
Most Indian apartments still rely on a register at the gate and a guard calling the intercom or a resident's phone. In a busy society, with guests, delivery riders, cab drivers, helpers and contractors coming through all day, that system breaks in predictable ways:
- It's slow — every visitor means a phone call and a handwritten entry while a queue builds.
- It can't verify — the guard has no way of knowing whether a visitor is really expected.
- It's hard to search — after an incident, finding who entered and who approved it means flipping through pages.
How Community Hub replaces it
- Before the visit — the resident creates a request for a guest, delivery or cab and shares the pass code or QR.
- At the gate — the guard scans the QR or checks the pass code and records the entry.
- Unexpected visitors — the guard logs them and the resident gets a notification to approve or reject.
- Afterwards — entries and exits are on record for the committee.
Part of a bigger gate workflow
The same guard view also handles daily staff attendance, material movement checks and SOS alerts, so security staff aren't switching between apps. For a broader look at the trade-offs, see our comparison of manual and digital visitor management.
Frequently asked questions
Does the guard need special hardware?+
No. Guards use the Community Hub app on an ordinary Android or iOS phone or tablet.
What if the resident doesn't respond to a walk-in request?+
The visitor waits until the resident approves; the guard can still contact the resident directly, as they would today.
Can we keep the paper register during the switch?+
Yes. Many societies run both for the first few weeks while guards and residents get used to the app.
Who can see visitor records?+
Residents see visitors for their own unit; the society's admins and guards see the gate records they need for security.
Is visitor management included?+
Yes. It's part of the Community Hub app; new communities get a 3-month trial.
